Construction Estimating Software

Most estimating software stops at bid submission. The signed-off Bill of Quantities or cost plan then drifts away from a monthly QS reconciliation that still runs on a Primavera export and a stack of site diaries. VisiLean sits downstream of the estimating tool, not in parallel with it. The CPM programme that delivers the estimate is tracked task by task, LiveSite captures the daily record from the field with photo evidence and sign-off, and the Cost Management dashboard shows planned vs. actual on an S-Curve. Estimators and QS teams keep their chosen bid-stage tool (Cubit, Buildxact, CostX, Candy or equivalent) and export VisiLean's task-completion record into it for monthly valuations.

What construction estimating software actually covers

The term covers three distinct workflows. Most products address the first two. Only a production-control platform addresses the third, and the third is where most project margin is lost:

  • Takeoff and quantification

Measuring quantities from drawings and models, driving unit prices against them, producing the Bill of Quantities. Cubit, PlanSwift, STACK, Buildxact, Esticom and Autodesk Takeoff all serve this stage well.

  • Cost planning and bid build

Assembly-based pricing, markup, overhead allocation, submitting the tender. CostX, Candy and WinEst sit here. The output is the agreed BoQ or cost plan that becomes the contract baseline.

  • Progress tracking against the estimate

Task completion week by week on the live programme, planned vs. actual against the baseline, variance narratives for the monthly cost report. This is where estimates and reality separate. Spreadsheets, Primavera exports and site diaries still carry most of this workload, and the manual reconstruction is where margin leaks.

VisiLean is a production-control platform. It runs the CPM programme that delivers the estimate and captures the task evidence that proves it. The estimating tool stays where it is and reconciles against the exported progress record.

What VisiLean actually does for the estimate

CPM programme as the record of work

Each task on the master programme carries baseline duration, dependencies, trade assignment and planned vs. actual progress against the signed-off estimate.

Task progress from the field

LiveSite captures task-level progress, make-ready status and completion by activity. Daily updates, signed-off tasks and photo evidence feed the same dataset.

Cost Management dashboard

Planned vs. actual on an S-Curve view against the CPM programme. Totals and roll-ups go into Power BI for the project director and client reports.

QS valuation evidence

Interim valuations, pay-app submissions and variations cite the same dated, photo-backed field record. The BoQ reconciliation still runs in the QS's chosen estimating tool.

4D BIM against activities

Federated models play back the CPM programme. Element status, defect flags and task completion read against the 3D view.

Programme-first, estimate-aligned

When the CPM programme shifts, the planned-vs-actual trend shifts with it. QS teams see the schedule movement before they build the monthly valuation.

From estimate to execution: how VisiLean sits beside the BoQ

What the estimating tool keeps

  • The signed-off BoQ or cost plan with budgeted quantity, unit rate and cost code.
  • Trade or discipline tagging for roll-up reporting.
  • Monthly QS valuation and pay-app build-up.

What VisiLean adds back

  • Task completion, dated, signed-off and photo-backed.
  • Planned vs. actual by trade and by zone against the CPM programme.
  • Cost Management S-Curve updating as the programme progresses.

Frequently asked questions

Does VisiLean do takeoff and bid-stage estimating?

No. Bid-stage takeoff from PDFs or models, assembly-based pricing and bid-package production are the territory of dedicated tools: Cubit Estimating, Buildxact, PlanSwift, STACK, Esticom and the Autodesk Takeoff workflow. VisiLean starts after the estimate is approved. The CPM programme that will deliver that estimate is built in VisiLean, task progress is captured from the field, and the task-completion record exports to the BoQ tracker that holds the baseline. Teams typically keep their chosen estimating tool and add VisiLean on top rather than replacing it.

How does VisiLean connect the estimate to the live construction programme?

The estimate itself lives in the bid-stage tool. VisiLean lives on the CPM programme that delivers it. Each task on the master programme carries planned vs. actual progress, daily LiveSite updates with photo evidence and the sign-off record. QS teams and estimators pull that progress record out of VisiLean and reconcile it against the signed BoQ in their own tool. The two systems stay authoritative for their own data.

Can VisiLean track planned vs. actual against the construction estimate?

VisiLean's Cost Management dashboard shows planned vs. actual on an S-Curve view that follows the earned-value shape. The curve is driven by task progress on the CPM programme, captured day by day from LiveSite. Those actuals export to the BoQ tracker that holds the signed-off estimate, so the earned-value calculation lands in the system that already holds the budget. Weekly and monthly roll-ups continue through Power BI dashboards for the project director and client reports.

Does VisiLean replace tools like CostX, Candy or Cubit?

No. Those are design-stage cost planning and tender-build tools, and they are the right place to produce the estimate. VisiLean replaces the spreadsheet gap between the signed-off estimate and the live site: the manual reconstruction of what was actually built each month. The estimating tool keeps the cost plan; VisiLean keeps the record of work honest as the project proceeds.

How does VisiLean support quantity surveyors on site?

QSs run their monthly valuations against on-site progress, not the paper schedule. VisiLean gives them a live, dated, photo-backed record of what was actually completed by trade and by zone against each programme activity. Pay-app submissions, variations and interim valuations cite that evidence instead of pulling it from Excel trackers and site diaries each month. The BoQ reconciliation still runs in the QS's chosen estimating tool; VisiLean supplies the field evidence that drives it.
