Construction Document Management Software

Construction documents split cleanly into two groups: the design and contract documents that live in a Common Data Environment (ACC, Aconex, Asite, Viewpoint), and the site evidence that auditors, QS teams, insurers and clients actually ask for at handover. VisiLean handles the second group. Daily Progress Reports, defects, photo evidence and signed-off tasks are tied to the live master programme and to the federated BIM model, so the documentation story matches what the project actually did.

What construction document management actually covers

Three distinct document estates on every live project. Most tools own one and quietly leak on the others:

  • Design and contract documents (the CDE estate)

Drawings, specifications, submittals, RFIs, change orders, federated BIM models, correspondence. Governed by ISO 19650 on well-run projects. Lives in Autodesk Construction Cloud, Aconex, Asite, Viewpoint for Projects or Procore Docs.

  • Site evidence (the production estate)

What was installed, when, by whom, with what defects, to what quality. Daily Progress Reports, signed-off tasks, photo evidence, snag registers, inspection records. Still mostly a mix of WhatsApp photos, Excel registers, paper diaries and site PDFs on tier-1 projects.

  • Handover and closeout (the as-built estate)

As-built drawings, O&M manuals, test certificates, warranties, regulatory evidence packs. Assembled at the end from the first two estates, usually under time pressure, usually with gaps.

VisiLean owns the site-evidence estate and makes the handover estate assemble itself from live data. The CDE stays authoritative for design and contract documents.

What VisiLean actually does for construction documentation

Daily Progress Reports

DPRs completed on a phone against the day's activities on the master programme. Dated, timestamped, signed by the responsible site engineer.

Defect and snag register

Snags raised on the LiveSite mobile app against the activity, element and location. Routed to the responsible trade with status, dates and photo evidence.

Signed-off task evidence

Each task carries completion date, assignee, photos and sign-off. The pay-app and QS valuation workflow reads this record instead of asking the site for recap.

Programme update log

Weekly programme movements captured with dated reason codes. Extension-of-time and compensation-event submissions read from the live log, not from a reconstructed PDF.

4D BIM evidence trail

Federated model (IFC, Revit) consumed from the ISO 19650 CDE. Installed element status, defect flags and activity completion read against the 3D view.

Power BI reporting

Weekly client reports, QA metrics, defect density by trade, PPC trends. Dashboards replace the Monday morning PDF assembly job.

Site evidence + ISO 19650 alignment: the two workflows that matter at audit

Site evidence as a live record

  • Every DPR, defect and sign-off keyed to a programme activity.
  • Photos and attachments stored with timestamp and location metadata.
  • Weekly client reports and monthly cost reports draw on the same source dataset.

ISO 19650 alignment

  • Federated models from the ISO 19650 CDE drive the 4D BIM view directly.
  • Information delivery milestones tracked on the master programme.
  • Construction-stage evidence trail assembled from live records, not reverse-engineered at handover.

Where a CDE ends and VisiLean begins

Buyers often evaluate a CDE and a production-control tool as if they were alternatives. They are not. Each one owns a different document estate, and running them side by side is the current tier-1 pattern.

Main contractors running the site-evidence layer in VisiLean

Deployments span data-centre, airport, tier-1 residential, fit-out and infrastructure programmes. Named main contractors value the DPR-and-defect capture flow and the audit-ready evidence trail specifically.

Frequently asked questions

Is VisiLean a Common Data Environment (CDE)?

No. The CDE is the project's drawings, submittals, RFIs and model repository, usually Autodesk Construction Cloud (ACC), Aconex, Viewpoint for Projects, Asite, Trimble Connect or Procore Docs. VisiLean does not replace that. It consumes federated models from the CDE for 4D BIM playback and captures the site-side evidence (DPRs, defects, photos, signed-off tasks) that the CDE was never designed to hold. The two are complementary, not alternatives.

What construction documents does VisiLean actually manage?

VisiLean manages production-side documentation keyed to the master programme. Daily Progress Reports from the LiveSite mobile app, defect and snag records with dated photo evidence, signed-off task completion with timestamps and locations, weekly programme updates and reason-code logs, Takt board snapshots, PPC reports per crew. Each item is tied to the activity it covers, so the evidence trail follows the programme rather than sitting in a parallel folder tree.

How does VisiLean support ISO 19650?

VisiLean aligns with ISO 19650 information-delivery principles rather than acting as the CDE itself. Federated IFC and Revit models from the ISO 19650-compliant CDE are consumed into the 4D BIM view with element GUIDs preserved. Information delivery milestones are tracked against the master programme, so the ISO 19650 information requirements (OIR, AIR, EIR) stay visible as programme targets, not as a parallel document register. The CDE remains the information store; VisiLean is where delivery is scheduled and evidenced.

Can VisiLean integrate with Procore, ACC, Aconex or Asite?

Yes. Federated models from the project's CDE drive the 4D BIM playback in VisiLean. Teams typically keep ACC or Asite for drawings, submittals, RFIs and model federation, and use VisiLean for the live programme, trade commitments and field evidence. The integration is file-level (IFC, Revit) rather than full bidirectional sync, which is a deliberate design choice. Each tool stays authoritative for its own data.
